What a sourcing agent actually does
Many buyers assume an agent simply forwards quotations. In practice a professional agent manages the whole supply chain: finding and screening factories, negotiating prices and terms, pre-shipment quality inspection, consolidating goods in a warehouse, arranging freight, and preparing customs documents.
Six criteria to evaluate any sourcing agent
- Transparent pricing: ask for the product price and the international freight to be listed separately — do not accept one lump sum that hides everything.
- A real office and a real factory visit: ask for a valid business licence, and for large orders confirm whether they visit the factory and verify its registration.
- Product knowledge: at least in your industry (machinery, building materials, electronics, furniture), because a wrong term means a wrong product.
- A clear communication channel: one named person responsible for your order, with a defined response time.
- Flexibility on order size: a good agent accepts a small trial order and grows with you, instead of demanding large volumes from the start.
- Financial and documentation capability: a USD corporate account, an official invoice, and export with formal customs declaration — these are the legal basis that protects you when importing.
Red flags
- Prices far below market level with no reasonable explanation.
- A request to pay the full amount in advance into a personal account instead of a company bank account or a verified third-party company account.
- No office address or company registration number.
- Refusal to issue an official invoice or to state any verifiable payment method.
How to evaluate an agent before a large order
Start with a small trial order and focus on three things: specification accuracy, packing quality and document accuracy. Ask for a photo inspection report before shipment, and compare what actually arrived with what was promised. An agent who performs well on a small order deserves a larger one.
Questions to ask in your first conversation
- Do you have a business licence and a USD corporate account?
- Which payment methods do you accept, and do you issue an official invoice?
- How do you ship to my country — for example Saudi Arabia, the UAE, Europe or the Americas?
- What is the expected lead time from payment to shipment?
